Declaration of FKW Headcount

APPROVAL (9 WORKING DAYS)
- SUBMITTAL OF FKW APPLICATION AND PAYMENT
Companies need to submit their FKW application including the full payment online. - THE VERIFICATION PROCESS
MDEC will verify the applicant(s) details with the completed documents. - A DECISION IS MADE BY MDEC & IMMIGRATION
MDEC & Immigration either approves or rejects the application. - AN APPROVAL/REJECTION LETTER IS ISSUED
MDEC will then issue an approval letter/rejection letter via the Expats system.
ENDORSEMENT (3 WORKING DAYS)
- ONLINE SUBMISSION
- For Employment Pass category I and II (EPI & II) and applicants currently is/are abroad
- Companies MUST submit online endorsement and make payment (Immigration fees) at least five (5) working days PRIOR to the applicant’s entry to Malaysia. This requirement applies to all NEW applications.
- For Employment Pass category III (EPIII) and applicant(s) currently is/are abroad
- Companies MUST submit online endorsement and make payment ONCE the applicant has entered Malavsia.
- For Employment Pass category I, Il and III (EPI, EPIl and EPIII) and applicant(s) currently is/are in Malaysia
- Companies MUST submit online endorsement and make payment IMMEDIATELY.
- PASS STICKER COLLECTION
- Employment pass category I and Il and applicant (s) currently is/are abroad
- Upon arrival at Kuala Lumpur International Airport (KLIA), the Immigration Department will issue a pass sticker at the ESD Satellite Centre (ESC), KLIAl and its will be affixed immediately.
Applicants to bring the required documents such as approval and confirmation letters for pass sticker issuance - Employment Pass :
- Category III and applicants currently is/are abroad.
- Category I, Il and III and applicants currently is/are in Malaysia
- The Immigration Department at the Expats Service Centre will issue a pass sticker and it MUST be affixed to the original passport within five (5) working days after receiving the notification from Expats system.

FREQUENTLY ASKED QUESTIONS
If your Nature of Business as per the Companies Commission of Malaysia printout relates to any activities in Information, Communication and Technology (ICT), your application should be submitted directly to MDEC.
If your company registration is unsuccessful due to nature of business is Non ICT, you may proceed to Expatriate Services Division (ESD) of Immigration Department.
If your company nature of business is in ICT, you can appeal by submitting an official letter to Expats Service Centre.
Once your company has successfully registered with MDEC, all renewal applications must be submitted through Expats Service Centre.
For the Authorized Person, application status is available in the Expats system. Kindly login Expats. For others, you may check the status of your application with your company Authorized Person.
The validity is three (3) months.

As of now, all citizens are allowed to apply for the Employment Pass (EP). However, approval from Ministry Of Home Affairs Malaysia is required for Israel citizen to enter Malaysia.
There is no minimum age requirement.

Company is responsible to cancel the Employment Pass of the FKW as follows: i. Initiate cancellation process via the Expats system ii. Submit the original passport and other documents to Expats service Centre kindly refer to the cancellation checklist, Checklist for Cancellation of Passes
The improvement in the process is part of effort in supporting the government initiative to improve the efficiency of obtaining permits for expatriates working in Malaysia. This will help to expedite the hiring process for the companies.
Companies no longer required to go through Projection/Headcount approval process and the submission of projection number will be automatically approved. Company may proceed to apply for the passes accordingly and processing time will be significantly reduced.
Your initial application for the Projection/Headcount will be automatically forfeited. For the interest of capturing latest information, you may proceed to resubmit the latest projection number with relevant justification and continue with the application for the passes. MDEC will process application for the passes immediately as per our committed SLA.

There is no new or additional requirement, but company is expected to adhere with relevant criteria, rules and regulations such as Immigration Act 1969. Monitoring of the passes usage will be performed on continuous basis to ensure relevant compliance and any non-compliance is subject to cancellation of the passes.
